<p>An interesting part of the Google Wave one and a half hour demo video was the various robots that were used throughout the demo. </p>
<p><strong>Google Wave Translator Robot: Rosie</strong></p>
<p>I think the most interesting one was the translator robot named Rosie. Rosie will translate up to 40 languages. </p>
<p>With concurrent live conversations, anyone can use their own native language while participating in the wave and as they write, Rosie will translate it into the language that you tell it you want to read. </p>
<p>So while you are writing in English, your colleague in France is reading your conversation in French. As he types his reply in French, you are reading it in English. </p>
<p>This has enormous potential for speeding up international business communications.</p>
<p>Robots and gadgets are both extensions that third party developers can write. The main difference is that a gadget is dropped into a wave and a robot is a participant and can perform any of the functions that any other participant can. </p>
<p>Where gadgets are written in XML, robots are written in Java or Python using the Google App Engine which can be found at this site: <a href="http://code.google.com/appengine/">http://code.google.com/appengine/</a>.</p>
<p>Some other robots that have already been created are Bloggy, a robot that will publish the contents of a wave to a blog and Twave which was created by the Google Wave team. </p>

<p>Being a robot, Tweety is a participant in your wave. What Tweety does is show your real time tweets in Wave and integrates back with Twitter so you can post to Twitter from within Wave. The potential for this kind of integration means pretty much a one stop shop for all your Internet social networking. </p>
<p>Wave&#8217;s promise of simplifying communications overload starts to look very real when looking at just these two robots.  </p>

<p>Almost any iGoogle gadget can run within Wave and take advantage of the Wave capabilities. So, the gadgets you now use on your iGoogle home page, will also be usable in your Wave account.  </p>
<p>Gadgets are built on Google&#8217;s OpenSocial Platform. A gadget is one type of extension. Robots are another type but we will not discuss them right now. Some non wave gadgets can be used in Google Wave but it will not be able to take advantage of the live wave environment.</p>
<p>Google Wave provides and open source API so anyone can write a gadget for the Wave that will be aware of the multi user environment and take advantage of the playback capability of Google Wave. One unique feature of Google Gadgets is that a gadget inside a specific wave belongs to everyone that is in that wave and not a specific user.</p>
<p><strong>Creating Google Wave Gadgets:</strong></p>
<p>Once Wave is open to the public, expect gadget development to take off like wild fire.</p>
<p>There is potential for any number of useful gadgets to be written. </p>
<p>One of those that are available now is the Google map gadget. If you are planning an event, using the Google map is a valuable tool to let everyone know where the event will be held. </p>
<p>The take-a-poll gadget is useful for determining who votes for which agenda items, which lunch items etc.  </p>
<p>There is a also a Twitter gadget that can integrate Twitter and the wave that it is being used in. </p>
<p>Writing a gadget involves writing an XML file that you upload via Google Wave itself. The opensouce API for writing a gadget as well as instructions can be found at: </p>

Google is calling the Wave a collaboration and communication tool based on XML that supports concurrent modifications and updates. Google provides an hour and half video demo of the alpha version of Wave at http://wave.google.com.</p>
<p>It was released to a limited and select audience in September 2009 in a controlled beta test. </p>

<p>In this demo photo the Wave is using specially written gadgets to take a poll. This is one of the gadgets or extensions that has been written using their open source API. </p>
<p>The Wave runs through your browser but you will quickly forget you are using a browser. </p>
<p>The thought behind this application is a reinvention of email as if it had just been discovered today. Email is more than 40 years old, and it is a back and forth communication. </p>
<p>The Wave on the other hand  is instant communication, email, document management and with extensions and what Google is calling The Federation, much more.</p>
<p>If the Wave is only used as plain vanilla email it still offers more than your standard email. Messages are delivered to your box if you are out but if you are there you can see what the sender is writing as they write it. </p>
<p>You can reply inside the message. You can add people to the wave as it grows. They will see the message as it is when they enter the conversation but there is a play back capability where they can recreate each step of the conversation. </p>
<p>So if you use the Wave for nothing else other than email and Instant message, you have already cut out one application that you do not have to use. The Wave will do both of these things in one app, on a browser or on your mobile device. But wait, there is more……… </p>

			<content:encoded><![CDATA[<p>No, this is not Star Wars but if you take the one and half hours required to watch the Google Wave preview video at wave.google.com you will hear talk of the Federation towards the end of the video presentation.</p>
<p>This is a little technical and more geared towards those programmer geeks who cannot read enough about new technology.  </p>
<p>Google is offering their API as open source so others can run Wave servers and become Wave providers, thus forming a federation. Google Wave users from different providers can seamlessly communicate with each other and share waves.</p>
<p>As part of the open source API Google has created the Google Wave Federation Protocol which I am sure someday soon will have an acronym the same as SMTP and SMS. </p>
<p>SMTP is the protocol that all email uses so that people using many different email providers can still communicate with each other and the Google Wave Federation Protocol is a similar sort of communication protocol. </p>
<p>It is an extension of the XMPP protocol which is an open source protocol invented by Jabber.</p>
<p>Everyone from corporations to individuals can run Wave servers. If you want to have a wave server for just your family, you can set one up. All you would need is a server, the Google Open Source server software and, let&#8217;s face it, some technical knowhow. </p>

<p><strong>About Google Wave Document Management Features</strong></p>
<p>Documents in Google Wave are simply a Wave or threaded conversation. </p>
<p>You create a wave; then you start typing your document or copy an existing document into wave. </p>
<p>For example: Perhaps you are writing a requirements document and you want it to be a joint effort from your entire team.  You would then add all the people as participants in this conversation and send it to them. </p>
<p>As soon as you do that, it shows up in their wave inbox. They can add their edits in real time, as you watch, in fact, everyone can edit the document simultaneously. This is a vast improvement over sending the document around and around in email or keeping a copy on a server that people edit one at a time. As it is being edited, remarks can be typed in at any spot in the document.</p>
<p>The Wave or conversation can also be a repository for storing other waves, so that links to many documents that relate to a certain topic can be kept in a wave. </p>
<p>Pictures can easily be added to the document and the Wave supports 40 different languages. So if part of your team speaks only French, online translation is available so that communication between you can be instant and correct.</p>
<p>If people are added to the conversation late in the process, they can use the playback functionality to see exactly what has transpired. And if there is a need for a private conversation you can make your comment private to whoever you want and others will never see them. </p>

<p>Good search functions &#8211; Users want to search for documents just like they search Google&#8230;with text queries.  This requires that your documents are all fully text searchable.  When you put your documents into electronic format, you may need to use OCR software to achieve this.</p>

<p>Microfiche cut document storage size down by as much as 99% or more<br />
(though are still far inferior to CD-ROM).</p>
<p>There are many disadvantages &#8211; Most people searching documents these days want to be able to use search queries, which of course, microfilm does not offer.  OCR &#8211; optical character recognition allows old documents to be fully text searchable which saves countless hours when retrieving old documents.</p>
<p>Users now generally want quick ways of finding specific information, and could care less about printing entire documents. Further, entire documents can easily be located printed from optical storage based documents if need, while microfilm doesn&#8217;t offer good search facilities.</p>
<p>When and if laws change, legacy documents can systematically be loaded into exisiting DMS systems by scanning and running OCR software. This will allow for full text search and quick finding of old documents.</p>
<p>In the meantime, companies need to decide whether they want to invest in digital archiving in the event that microfilm and other &#8216;hard copy&#8217; archiving solutions are no longer required and become totally obsolete.</p>
<p>Microfiche to cd is a valuable service, which has the possibility to take old microfiche and make them into text searchable documents on the internet.</p>

			<content:encoded><![CDATA[<p>These days, most documents and records are first created on a computer by word processors, spreadsheet applications, design software, CAD and dozens of other software formats (as opposed to typewriters and photos from times past).</p>
<p>While records start out electronic, almost all of them end up being printed at some point.</p>
<p>This requires that the documents are stored through a records management process and often requires document destruction with a <a href="http://www.document-shredding.org">mobile document shredding company</a>.</p>
<p>The printed copy is called the &#8216;record copy&#8217;, and storing these records, depending on the project, can result in warehouses full of documents.</p>
<p>Another factor which can make managing documents complicated is that government mandated document retention schedules can be confusing and require interpretation by legal experts, or at very least a specialist on staff.  The reason is, laws make the fines for improper document management a liability.</p>
<p>Some records may need to be kept over 75 years. </p>
<p>The result is that companies can have a hard time finding and deploying an efficient document management system that covers the complete document lifecycle.</p>
<p>Managing the &#8216;document flow&#8217; is one of the major challenges companies that deal with large amounts of paperwork face today, and computer systems can help speed up and smooth out the process dramatically.</p>
<p>Here are a few things to consider when finding a new document management system or upgrading an existing one:</p>
<ul>
<li>Control of records from creation until time of storage</li>
<li>Compatibility with laws and retention procedures</li>
<li>Quality of search features &#8211; Can it quickly produce good responses when user&#8217;s request information on documents?</li>
<li>Superiority &#8211; Is it quantitatively better than the current system?</li>
<li> Will upgrading your CMS be worth the cost and hassle?</li>
<li>Risk: Is there any chance you could implement the system and find major problems later?</li>
</ul>
<p>Many document management systems will work excellent for one stage of the document flow process, but will either fail at another important stage, or be incompatible with other technologies that are needed during the document lifecycle. </p>

<p>In the days before computers, documents were mostly kept in filing cabinets, or filing boxes in file rooms.</p>
<p>A person searching for a document would have to travel to the physical location of the document, and use the alphanumeric filing system to locate a specific document.</p>
<p>Tedious to say the least!</p>
<p>These old filing systems, in addition to being hard to manage, required allocation of large areas of space in an office building.</p>
<p>Today, thanks to document management software and databases, it is much easier.</p>
<p>Documents scanned and stored in the database can be accessed through a web browser or other computer interface on a local network.</p>
<p>Some are integrated with Windows Explorer. Others use proprietary user interfaces and are accessed on a local network.</p>
<p>How are files located?</p>
<p>When documents are entered into the database, they are tagged with &#8216;meta data&#8217;. This can be any type of information, like keywords, date, time, project name, client name, size, type of file or by the user who created them etc&#8230;Any data that is added to the meta data when files are stored can be utilized later when using the search function.</p>
<p>Some software also has the built-in ability to find metadata from the document, either through indexing of the document&#8217;s text, or via optical character recognition of text in scanned images.</p>
<p>The files are located by the user at a computer terminal in a similar way that search engines like Google are used. Often times, list of documents are returned for the user to select from.</p>
<p>Document storage and retrieval has become a much easier process thanks to document scanning software, optical recognition software, databases, and search queries.</p>
